Scheduling Advising or Office Hours

Our team was recently asked for a solution for scheduling office hours using an online program. We, fortunately, ran across a great video detailing how to do exactly this task using a program called Doodle.  This solution can be used for office hours, advising, lab scheduling, etc.

Here are the steps for creating office hours where students can only select a single time slot:

  1. Go to Doodle at
  2. Click on the Schedule an event link.
  3. Enter a title, location, and description as appropriate. Also, include your name and email address. Ideally, you should have a Doodle account.
  4. Click on the Next button.
  5. If you see the link “Basic calendar” click on it. You should only see a calendar.

  6. Select all of the dates when you want to hold office hours and click on the Next button.
  7. Enter times for appointments in the slots provided. You can always add additional slots. NOTE: If you know “military” time or 24-hour clock, you simply need to add the time, e.g, 0915 for 9:15 AM or 1415 for 2:15 PM. This will speed up the process.
  8. Once complete, click on the Next button.
  9. Important! Click on the down arrow next to Settings.

  10. Check the Participant can only choose one option and Limit the number of participants per option.
  11. Ensure it is set to 1 participant.
  12. Click on the Next button.
  13. At this point, you can either add email addresses and a message to send or have a link sent to yourself for later distribution.
  14. Finally, click on the Finish button.

I have personally used Doodle to schedule meetings with people around the world, and I feel it is a great tool for this purpose. I would like to hear what you think about this solution.
